
Surf Retreat Terms and Conditions
1. Acceptance of Terms

By booking a surf retreat at The Sevana, you agree to be bound by these Terms & Conditions. Please read them carefully before completing your booking.
2. Booking & Payment
​

A £600 / £1200 (30%) nonrefundable deposit is required to secure your place.
-
The remaining balance is due 60 days prior to the retreat start date.
-
Failure to pay the balance by the due date may result in the cancellation of your booking and forfeiture of your deposit.
-
Your booking is considered confirmed only once full payment has been received.
3. Cancellations & Refunds (Guest-Initiated)
​
Cancellations must be submitted in writing via email. A confirmation email will be sent upon receipt.

90+ days before retreat start: Refund of all payments made, minus the nonrefundable deposit and a 10% admin/transaction fee.
-
60–89 days before retreat start: 50% refund of payments made, minus the nonrefundable deposit and 10% admin fee.
-
Less than 60 days before retreat start: No refund is available.
-
No-shows or early departures: Non-refundable.
4. Cancellations (By The Sevana)
​
A retreat may be cancelled if:
-
Extreme weather, safety risks, or unforeseen circumstances occur.
-
Minimum participant numbers are not met.
If The Sevana cancels the retreat, you will receive a full refund, including your deposit.
However, The Sevana cannot be held responsible for additional expenses, such as flights, visas, vaccinations, or travel arrangements.
5. What’s Included
​
Retreat packages typically include:

6 or 13 nights of boutique accommodation
-
Daily surf coaching (small groups, maximum 5 surfers per coach)
-
Surf transport to and from breaks
-
Video analysis and surf theory sessions
-
Access to the gym, yoga space, and pool
-
Chef-prepared meals (breakfast, lunch, and dinner)
Unused inclusions are non-transferable and non-refundable.
6. Health, Safety & Participation

Surfing and related activities involve inherent risks; participation is entirely at your own risk.
-
You must inform us of any medical conditions, injuries, or allergies that may affect your ability to participate safely.

The Sevana reserves the right to restrict or refuse participation in surfing or physical activities if it is deemed unsafe for you or others.

Guests must follow all safety instructions provided by surf coaches, yoga teachers and staff. Failure to comply may result in removal from activities without refund.
7. Liability Waiver

By booking, you acknowledge and accept that:

Surfing, yoga, fitness activities, and travel in Sri Lanka involve inherent risks.
-
The Sevana is not liable for injuries, illnesses, accidents, or loss/damage of personal belongings.

Participation is voluntary, and you assume full responsibility for your personal safety and wellbeing.
All guests must sign the Surf Instruction & Ocean and Related Activities Liability Release, Assumption of Risk, and Indemnity Agreement prior to participation.
8. Accommodation & Facilities

Rooms are allocated as booked (shared or private), with a maximum of two guests per cabana unless otherwise arranged.

Towels and linens provided are for in-room use only.

You are responsible for the proper care of all property, furnishings, and equipment. Costs for damage or breakages will be charged accordingly.

Smoking is prohibited inside rooms, the yoga/gym areas, and all communal indoor facilities.
-
Pets are not permitted.
9. Code of Conduct
​
The Sevena is a peaceful retreat located within a local Sri Lankan community. To preserve this environment and maintain positive relationships with our neighbours, guests are expected to:

Treat fellow guests, staff, and members of the local community with respect at all times.
-
Refrain from any disruptive, unsafe, or disrespectful behaviour. Such behaviour may result in removal from the retreat without refund.

Observe all community guidelines, including designated quiet hours, to ensure a harmonious experience for everyone.
10. Travel & Insurance

Guests are responsible for ensuring they have valid passports, visas, and any required vaccinations.
-
Travel insurance is mandatory and must cover medical care, trip cancellation, accidents, and loss of personal belongings.

Proof of insurance may be requested prior to the start of the retreat.
11. Social Media & Marketing
​
During the retreat, photographs and video footage may be captured for surf coaching, performance feedback, and instructional analysis. These materials are used primarily to support your learning and enhance your surf progression.
We respect your privacy and personal boundaries. Therefore:

All photos and videos taken for coaching purposes will remain internal to The Sevena’s coaching team unless you explicitly choose to share them yourself.

We will not use any photos or videos of you in our marketing, promotional materials, social media platforms, website, or advertising without your express, written permission.
-
If we would like to use a specific image or video for marketing, we will contact you directly and request permission. You may decline the use of your image or video for promotional purposes at any time, without affecting your participation in the retreat.
Your comfort, privacy, and control over your personal image are a priority at The Sevena.
12. Governing Law & Dispute Resolution
​
These Terms & Conditions, as well as any agreement arising from your booking and participation in the retreat, shall be governed by and interpreted in accordance with the laws of Sri Lanka.
In the event of a dispute, claim, or disagreement arising out of or relating to your booking, participation in the retreat, or any associated services:

Parties agree to first attempt to resolve the matter informally and in good faith.

If a resolution cannot be reached, any dispute arising out of or in connection with this contract, including any question regarding its existence, validity or termination, shall be referred to and finally resolved by arbitration administered by the Singapore International Arbitration Centre (“SIAC”) in accordance with the Arbitration Rules of the Singapore International Arbitration Centre (“SIAC Rules”) for the time being in force, which rules are deemed to be incorporated by reference in this clause.

The seat of the arbitration shall be Colombo, Sri Lanka.

The Tribunal shall consist of one arbitrator.
-
The language of the arbitration shall be English.
